Data controller

The controller of your data is MINDEVO, a French SAS with a share capital of €1,000, registered with the Paris Trade and Companies Register under number 989 501 697, whose registered office is at 40 rue Alexandre Dumas, 75011 Paris, France.

Data we collect

We only collect the data needed for the purposes described below:

• Contact form: first name, last name, email address, phone (optional), company (optional), subject, message and any attachments.
• Chat assistant: the content of the messages you send and the assistant's replies.
• Meeting booking: the information entered in the Calendly module (name, email address, chosen time slot).
• Audience measurement: browsing data (pages viewed, visit duration, device type, clicks and scrolling) collected by Google Analytics and Microsoft Clarity.

Purposes and legal bases

• Answering your requests and managing the business relationship: pre-contractual steps taken at your request and MINDEVO's legitimate interest.
• Running the chat assistant and improving its answers: MINDEVO's legitimate interest.
• Organising the meetings you book: pre-contractual steps taken at your request.
• Measuring site audience and improving usability: your consent.

Chat assistant

Your messages are handled by an automated agent running on our n8n instance. To produce an answer, they are sent to OpenAI, and your question is matched against a document base hosted by Pinecone. That base only contains our own documents: your messages are not stored in it.

The conversation context is kept temporarily during your session. Exchanges are logged in a Google Sheets spreadsheet so we can follow up on requests and improve the assistant.

Please do not share sensitive data (health, banking details, passwords…) through the assistant.

Recipients and processors

Your data is intended for MINDEVO's teams. It is never sold. It is processed on our behalf by the following providers:

• Hostinger: website hosting.
• n8n: running the automations (form and assistant), on an instance operated by MINDEVO.
• OpenAI: generating the assistant's answers.
• Pinecone: hosting the assistant's document base.
• Google: logging exchanges (Google Sheets) and audience measurement (Google Analytics).
• Microsoft: audience measurement (Microsoft Clarity).
• Calendly: meeting booking.

Transfers outside the European Union

Some of these providers (OpenAI, Pinecone, Google, Microsoft, Calendly) are based in the United States. These transfers are governed by the EU–US Data Privacy Framework where the provider participates in it, or otherwise by the standard contractual clauses adopted by the European Commission.

Retention periods

• Contact requests, assistant exchanges and meetings: 3 years from our last contact with you.
• Audience measurement cookies: 13 months maximum from when they are set.
• Related audience measurement data: 25 months maximum.

Cookies

Google Analytics and Microsoft Clarity set audience measurement cookies. They are only set with your consent, collected through the banner shown on your first visit. You can refuse or withdraw that consent at any time, with no effect on your browsing, via the “Manage cookies” link at the bottom of every page. Your choice is kept for 6 months.

Your rights

Under the GDPR and the French Data Protection Act, you have the following rights over your data:

• right of access, rectification and erasure;
• right to restriction of processing and right to object;
• right to data portability;
• right to withdraw your consent at any time;
• right to set instructions regarding your data after your death.

Exercising your rights

Write to us at contact@mindevo.io. We will reply within one month. If, after contacting us, you believe your rights have not been respected, you can lodge a complaint with the CNIL, the French data protection authority (www.cnil.fr).

Changes

This policy may change, in particular to reflect new services or new legal obligations. The date of the last update is shown at the top of this page.
